Job Description

The Admin Executive supports daily office operations, documentation, and coordination across teams to ensure smooth, efficient, and well-organised business operations.


Job Requirements

Key Responsibilities

1. Administrative & Office Support

  • Handle daily administrative tasks (filing, data entry, document management)
  • Prepare and manage reports, forms, and internal documents
  • Maintain accurate records and databases (orders, invoices, inventory, staff info, etc.)
  • Manage office supplies and coordinate replenishment
     

2. Coordination & Communication

  • Liaise with internal teams to support operational needs
  • Coordinate with external vendors, suppliers, and service providers
     

3. Documentation & Process Support

  • Assist in preparing SOPs, trackers, and internal systems (e.g. Notion, Google Sheets)
  • Ensure documents are properly updated, organised, and accessible
  • Support basic data tracking and reporting
     

4. Finance & Operations Support (Basic)

  • Assist in invoice preparation, filing, and payment tracking
  • Support order processing and simple reconciliation tasks
  • Track expenses and administrative costs
     

5. General Support

  • Handle ad-hoc administrative tasks as required
  • Support management and team with day-to-day operational needs

Requirements

  • Diploma / Degree in Business Administration or related field
  • Fresh graduates are welcome (experience is a plus)
  • Well-organised, detail-oriented, and responsible
  • Able to multitask and manage deadlines
  • Good communication skills (English & Mandarin preferred)
  • Experience with tools like Notion, Excel, is an advantage
