Role Description

We are looking for a proactive and detail-oriented Business Support Specialist (Admin) to join our team. This role is ideal for candidates with experience in the construction, interior design, fit-out, or project-based industries who thrive in a fast-paced, coordination-heavy environment. Key Responsibilities

  • Prepare Purchase Orders (POs) and track delivery timelines to ensure materials arrive as planned.
  • Coordinate with sales, project, and design teams to confirm product specifications and stock availability.
  • Monitor and manage inventory levels to ensure optimal stock control.
  • Oversee goods receiving and dispatching for project materials (including studio materials for shoots).
  • Coordinate logistics and deliveries between warehouse, suppliers, and project sites.
  • Work closely with project managers to align delivery schedules with site timelines.
  • Track all purchase expenses and maintain accurate procurement records.
  • Verify supplier invoices with the finance team, process payments, and reconcile discrepancies.
  • Support cost optimization initiatives and supplier performance evaluation.
  • Support the smooth running of daily office operations.
  • Manage documentation, filing, and record keeping for procurement and project-related matters.
  • Assist in organizing meetings, travel arrangements, and company events.
  • Ensure proper documentation flow between departments and external stakeholders.
  • Maintain organized records for audits and internal tracking purposes.


Job Requirements

Requirements

  • Diploma / Degree in Business Administration, Supply Chain, Construction Management, Interior Design, or related field.
  • 2–3 years of relevant experience, preferably from:
  • Mandarin Speaker
  • Construction
  • Interior Design / Fit-Out
  • Renovation / Project-based industry
  • Property development
  • Familiar with project timelines and site coordination processes.
  • Strong understanding of material specifications and vendor management is an added advantage.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Strong organizational and multitasking skills.
  • Excellent communication and coordination skills.
  • Detail-oriented with strong problem-solving ability.
  • Able to work independently and under tight deadlines.
