Job Description

  • Provide support to senior management including calendar management, meeting arrangements, and preparation of correspondence and reports.
  • Handle confidential and sensitive information with professionalism.
  • Coordinate project documentation, including drawings, contracts, permits, and submission records.
  • Prepare meeting minutes, follow up on action items, and update project progress reports.
  • Liaise with consultants, contractors, developers, and authorities to ensure project deliverables are met on time.
  • Monitor project timelines, track costs, and assist in claims, invoices, and budget reporting.
  • Support tender and procurement processes, including vendor coordination and documentation.
  • Arrange logistics, travel, and accommodation related to project activities.
  • Maintain project dashboards and prepare status updates for management review.
  • Provide administrative support to project teams when required.
  • Assist on any ad-hoc tasks assigned from time to time by the Management.

Job Requirements

  • Minimum Diploma/Degree in Business Administration, Project Management, Construction Management, or equivalent.
  • At least 2 years of working experience as a Personal Assistant, Project Admin, or similar role with good exposure in property development/construction field.
  • Strong organizational skills with the ability to multitask and prioritize work.
  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Independent, resourceful, and able to work under minimal supervision.
  • Good communication and interpersonal skills. Proficiency in Mandarin is required to communicate effectively with external stakeholders.
