Job Description

1. Invoicing & Billing

• Prepare and issue customer invoices accurately and on time.
• Ensure billing details align with contracts, quotations, and event agreements.
• Follow up with internal teams (sales, events, operations) to verify deliverables before billing.

2. Collections & Payment Follow-Up

• Monitor outstanding receivables and follow up promptly for payments.
• Maintain strong communication with clients to ensure smooth collection.
• Send reminders, statements of account, and resolve discrepancies quickly.
• Escalate overdue accounts when necessary.

3. Account Reconciliation

• Perform AR reconciliation monthly and ensure all transactions are accurate.
• Reconcile customer accounts, deposits received, and credit notes.
• Resolve billing issues, mismatches, or disputes with clients.

4. Record Keeping & Documentation

• Maintain proper filing of invoices, receipts, credit notes, and supporting documents.
• Ensure all AR documentation is complete, accurate, and audit-ready.

5. Reporting

• Prepare weekly and monthly AR ageing reports for management.
• Highlight overdue accounts, payment trends, and potential collection risks.
• Assist in cash flow projections related to receivables.

6. Coordination With Other Departments

• Work closely with the sales, business development, and event teams to confirm payment status before event execution.
• Update operations teams on payment collections and any outstanding issues.

7. Process Improvement

• Assist in improving AR workflows, SOPs, and internal controls.
• Identify bottlenecks and propose solutions to improve collection speed and billing accuracy.

8. Customer Service

• Handle customer billing inquiries professionally.
• Provide accurate statements and resolve issues efficiently to maintain positive customer relationships.

9. Compliance & Accuracy

• Ensure all AR processes comply with accounting standards and company policies.
• Support auditors by preparing AR-related schedules when required.

Job Requirements

• Diploma/Degree in Accounting, Finance, or related field.
• 1–3 years experience in Accounts Receivable or similar role.
• Strong understanding of billing, invoicing, and AR reconciliation.
• Proficient in accounting software (SQL/AutoCount/Xero) and Excel.
• Detail-oriented, accurate, and able to meet deadlines.
• Good communication skills for client follow-ups.
• Proactive, responsible, and able to work independently in a fast-paced environment.
