Job Description

Position Summary:

The Shore-Based Accounts Assistant/ Finance Admin is responsible for assisting the Finance team in daily accounting, documentation, and administrative tasks. This role includes processing transactions, maintaining accurate financial records, assisting with day-to-day payments, preparing spreadsheet reports, and ensuring proper documentation and compliance with company policies. The position requires strong attention to detail, good communication skills, and proficiency in Microsoft Excel to manage data, create summaries, and perform basic analysis.

Key Responsibilities:

Accounting & Finance Support

  • Assist in daily accounting tasks including data entry, payment preparation, and posting of transactions.
  • Support day-end and month-end closing activities including reconciliations, expense tracking, and financial reporting.
  • Assist accountant in consolidation of onboard and shore-side financial data for group reporting.
  • Assist in preparing financial summaries, spreadsheets, and analysis using Microsoft Excel for management review.

Documentation & Compliance

  • Maintain proper filing systems for financial records, invoices, receipts, and contracts.
  • Ensure documents comply with company policies, internal controls, and audit requirements.
  • Handle sensitive financial information with strict confidentiality and adhere to data protection guidelines.
  • Ensure that all templates, forms, and financial documentation follow the latest approved versions and that outdated documents are properly archived.

Support to Finance Department

  • Assist with office administration tasks such as correspondence, scheduling, and coordination with internal teams.
  • Perform other administrative or finance-related tasks as assigned.




Job Requirements

Qualifications:

  • Education & Experience:
  • Diploma/Degree in Finance, Business Administration, or a related field.
  • Fresh graduates are welcome to apply and willing to learn.
  • Strong proficiency in Microsoft Excel (e.g., formulas, pivot tables, data formatting).
  • Familiarity with accounting software is an advantage.
  • Experience or familiarity with preparing financial reports, reconciliations, and budget tracking is an advantage.
  • Problem-solving and analytical skills to identify discrepancies and support financial decision-making.
