Job Description

POSITION GENERAL SUMMARY

  • Responsible for the timely, accurate and efficient preparation & management of documentation, provide support in document control function and ensure proper & robust document records are kept.      

 

ESSENTIAL POSITION FUNCTIONS

  • Maintains and manages all important documents either for a project or whole organization and assures that it is easily accessible and stored
  • Manage by recording, scanning, sorting, distributing and storing all incoming and outgoing correspondences every day
  • Upload correspondences into ECMS system to make sure documents keep in safely and easy to retrieve
  • Assist in delivery all correspondences and reports via fax or post
  • Assist with basic reports by undertaking basic analysis and research and type up information as requested accurately and efficiently
  • Administrative matters for project (assist on security passes, IDs, supplies, documents)

Key Challenges

  • Ensuring updates/revisions for documents and trails are consistently filed and easily traceable        

Skills

  • Strong understanding and conscious of safe work practive
  • Excellent written and verbal communication skills
  • Good interpersonal and communication skills
  • Able to work independently 
  • Familiar with Factories and Machinery Act 1967, Environmental Quality Act and Occupational Safety and Health 1994.

Education

Recognized Degree in Construction/ Office Management/ Business Administration or any other relevant qualifications from an established university in Malaysia/ UK/ Canada/ Australia/ Singapore.        

Relevant Industries

Minimum of 3 years relevant experience in document management or QA/QC preferably construction of a large scale project >RM100mil.
