Job Description

About Qra (pronounced Q-ra) - is a modern, start-up, neighbourhood grocer; thoughtfully designed to bring communities closer through quality food, curated selections, and personalised experiences; all with a genuine Qra touch.

As a Senior Executive, Projects and Facilities, you will play a vital role in ensuring smooth execution of our store projects and ongoing facilities operations. You will handle project documentation, coordinate communication between internal/external stakeholders and provide administrative and analytical support to ensure projects and maintenance activities are delivered on time and within budget.

Responsibilities:

1.      Project & Facilities Documentation:

·       Prepare, organize and maintain all relevant paperwork including proposals, reports, budgets, contracts, POs and invoices.

·       Ensure all documentation is accurate, complete, and processed in a timely manner.

2.      Communication & Coordination:

·       Act as a liaison between line managers, team members, service providers, and other stakeholders.

·       Support clear communication and follow-ups to ensure smooth project and maintenance workflows.

3.      Monitoring & Reporting:

·       Track ongoing projects and recurring facilities work, maintaining up-to-date progress reports.

·       Assist in preparing regular updates and reports for management and stakeholders.

4.      Scheduling & Resource Management:

·       Maintain and update the projects and facilities database.

·       Highlight potential upcoming works and assist in planning schedules and resource allocation.

5.      Budget & Costing Support:

·       Assist in reviewing and validating cost submissions.

·       Prepare cost comparison analysis and provide administrative support for project costing exercises.


Job Requirements

What We’re Looking For :

·       Diploma or Degree in Project Management, Facilities Management, Architecture, Engineering, or a related field.

·       Minimum 2 years of experience in project coordination, facilities management, or a related function (experience in retail environments is an advantage).

·       Strong organizational and time management skills with the ability to manage multiple tasks and meeting deadlines simultaneously.

·       A proactive team player with a collaborative and positive attitude.

·       Attention to detail and accountability in managing documentation and reporting.

·       Being resourceful in obtaining market information on renovation cost and having competency in CAD drawing software will be an added advantage.

·       Hands-on, agile and thrive in a fast-paced environment.

·       Passionate about creating great spaces that reflect Qra’s brand and enhance customer experiences.
