The Office Administrative Internship offers a unique opportunity for hands-on experience in the administrative operations of our small boutique restaurant group.. The extern will gain practical skills in office management, procurement, finance, and cross-departmental coordination. This role is ideal for developing their administrative expertise in the food and beverage industry, including project management, stakeholder management, &amp; organizational skills.
<h3>Key Responsibilities</h3>
<ul>
<li>Office Administration</li>
<ul>
<li>Assist in maintaining office organization, including ordering supplies, managing inventories, and ensuring office equipment is functional.</li>
<li>Help schedule meetings and manage calendars for the office team, including booking of meeting rooms.</li>
<li>Assist in coordinating and supporting office events, meetings, and presentations.</li>
<li>Help maintain both digital and physical filing systems.</li>
<li>Provide administrative support in documentation of forms, registrations &amp; licenses for a variety of needs (supplier registration, permit renewals / permit application) , tenancy agreements. </li>
</ul>
<li>Procurement and Vendor Management</li>
<ul>
<li>Support the procurement of office supplies, equipment, and services according to the group’s policies.</li>
<li>Assist with vendor coordination to ensure timely delivery of goods and services.</li>
<li>Help prepare and compile supplier registration information.</li>
<li>Assist with day-to-day store supply procurement tasks.</li>
<li>Provide recommendations on bulk purchase &amp; cost-saving.</li>
</ul>
<li>Finance &amp; Documentation Support</li>
<ul>
<li>Assist in preparing invoices on behalf of internal vendors.</li>
<li>Help prepare company information for relevant external stakeholders.</li>
<li>Support documentation of financial transactions and vendor information.</li>
</ul>
<li>Team Support</li>
<ul>
<li>Assist in HR-related processes, including onboarding, orientation for new hires, and maintaining employee records.</li>
<li>Help coordinate internal communications, such as memos and announcements across the group.</li>
<li>Work with other departments, including HR, finance, and operations, to ensure smooth office operations.</li>
</ul>
<li>Event Planning &amp; Coordination</li>
<ul>
<li>Support the planning and logistics of internal and external events, including staff celebrations and training sessions.</li>
<li>Assist in managing materials and catering for office events.</li>
</ul>
