Admin: -

1) Greeting visitors and guiding them to the appropriate office or personnel.

2) Performing administrative tasks such as handling phone calls, replying to emails, and creating documents, including office correspondence, memos, CVs, and presentations.

3) Organizing and overseeing appointments, meetings, and the meeting room schedule to avoid conflicts.

4) Carrying out bookkeeping responsibilities such as issuing invoices, tracking accounts receivable, and managing budgets.

5) Keeping up-to-date office files, including employee files, vendor files, and other documents related to the company's activities.

6) Ordering office supplies, equipment, and furniture as needed.

7) Supervising the upkeep of office facilities and equipment.

8) Undertaking additional relevant tasks as required.

9) Collaborating with personnel from other departments, such as finance and HR.

10) Operating in an office setting.

Company Secretarial Assistant:

1) Addressing clients regarding their company secretarial needs and compliance obligations.

2) Drafting minutes for board meetings and shareholders, along with resolutions, notices, and records.

3) Maintaining and updating all statutory records and registers.

4) Filing statutory returns and applications with SSM, the Stamping Office (IRB), and other relevant authorities using e-services platforms like MyCoID, MBRS, and e-stamping.

5) Coordinating with SSM, IRB, relevant authorities, auditors, bankers, and legal professionals.

6) Providing general advisory services on company secretarial issues and compliance with the Companies Act and other regulatory standards.

7) Ensuring the company’s annual return and complete accounts are submitted on time by the statutory deadline.

8) Ensuring adherence to the Companies Act through: -

  • Registering changes to Directors, Secretaries, Addresses, Share Transactions, Share Allotments, and Strike-Off applications.
  • Submitting all relevant statutory forms to the Registrar of Companies.
  • Producing Dormant Company Accounts.
  • Assisting with the coordination of Statutory Accounts for trading companies.
  • Filing Confirmation Statements online.

Job Requirements

What We’re Looking For:

  • SPM, STPM and/or DIPLOMA
  • Fresh Graduate is welcoming
  • Strong analytical, problem-solving, and organizational skills.
  • Proficiency in Microsoft Office applications.
  • Excellent communication and interpersonal skills.
  • Prior experience with SQL Payroll and/or SQL Accounting systems is preferred.
