Job Description

We’re looking for a highly capable Personal Assistant who is organised, proactive, resourceful - and has a good sense of aesthetics. Someone who can support the founder in all aspects: daily operations, sourcing, creative coordination, admin tasks, and personal errands. This role is perfect for someone who enjoys variety, loves beauty & lifestyle, and thrives in a fast-moving, high-growth environment.

🌟 Your Responsibilities

1. Founder Support & Daily Admin

• Manage daily schedule, meetings, reminders, travel arrangements
• Handle communication, messages, emails, follow-ups 
• Prepare simple documents, notes, summaries, decks when needed
• Track to-do lists and ensure tasks stay on schedule
   

2. Operations & Coordination

• Assist in coordinating with teams (sales, marketing, fulfilment, finance)
• Help follow up on orders, suppliers, timelines and deliverables
• Support in event prep, campaign execution, and logistics
   

3. Sourcing & Creative Support

• Source props, décor, packaging, gifts, materials 
• Find vendors, suppliers, artisans, designers, printers
• Assist with shoots (styling, organising, preparing items)
• Help gather references, moodboards, colour suggestions
• Ensure everything aligns with ATHALIA’s branding & aesthetics
   

4. Personal Errands & Life Admin

• Booking appointments, organising personal tasks
• Errands such as picking up parcels, shopping for items, deliveries
• Light assistance with home organisation or travel when needed
   

5. Confidentiality & Trust

• Handle all sensitive information with full discretion
• Maintain professionalism, maturity and emotional stability

• Able to run errands, travel for events or sourcing
• Professional, discreet, and trustworthy
• Willing to work in a dynamic, fast-paced brand environment
