Job Summary:

We are seeking a professional and highly organized Administrative Assistant cum Receptionist to join our law firm. The ideal candidate will be the first point of contact for clients and visitors, providing a welcoming and efficient front desk experience while also supporting administrative tasks to ensure smooth office operations.


Job Requirements

Key Responsibilities:

Reception Duties:

  • Greet clients, visitors, and staff in a courteous and professional manner.
  • Answer and direct incoming calls promptly and accurately.
  • Manage appointment scheduling and maintain meeting room bookings.
  • Handle incoming and outgoing mail, courier services, and deliveries.
  • Maintain a tidy and organized reception area.

Administrative Support:

  • Assist with document preparation, filing, scanning, and photocopying.
  • Maintain and update client records and databases.
  • Support lawyers and staff with administrative tasks as needed.
  • Monitor and order office supplies and stationery.
  • Coordinate with vendors and service providers for office maintenance.

Basic Operations Duties:

  • Ensure office equipment (printers, copiers, phones) are functioning and report issues promptly.
  • Assist in maintaining inventory of office supplies and legal stationery.
  • Help with basic bookkeeping tasks such as invoice tracking and petty cash handling.
  • Support IT and facilities coordination (e.g., liaising with service providers for repairs or upgrades).
  • Assist in implementing and maintaining office procedures and systems.
  • Ensure compliance with firm policies and assist in internal audits or checks.

General Office Duties:

  • Ensure confidentiality and security of sensitive legal documents.
  • Assist in organizing firm events, meetings, and travel arrangements.
  • Perform other ad-hoc duties as assigned by management.
