Job Description

 Responsibilities:

  • Manage and oversee day-to-day administrative and operational matters to ensure smooth business operations
  • Support the Director in daily activities, including scheduling, meeting coordination, travel arrangements, and task prioritisation
  • Act as the primary point of contact, handling and prioritising all incoming and outgoing communications (emails, calls, documents)
  • Maintain strict confidentiality in handling sensitive information, documents, and personal matters
  • Coordinate with internal teams and external parties to ensure timely execution of tasks, meetings, and business activities
  • Assist in organising meetings, events, and business-related arrangements where required
  • Monitor and follow up on tasks, ensuring deadlines and commitments are met
  • Manage documentation, claims processing, and proper filing systems for accurate record-keeping
  • Support ad-hoc assignments and projects as required by the Director

Job Requirements

Requirements:

  • Possess at least a Diploma or Degree in any relevant field
  • Minimum 2–4 years of experience in Personal Assistant, Executive Assistant, or administrative support roles
  • Proficient in English (both written and spoken) and Mandarin
  • Strong organizational and multitasking abilities, with the ability to manage multiple priorities in a fast-paced environment
  • Proactive, resourceful, and able to anticipate needs with minimal supervision
  • Excellent communication and interpersonal skills, with the ability to liaise effectively with internal teams and external parties
  • Highly adaptable and able to respond quickly to changing priorities and situations
  • Detail-oriented with strong follow-through to ensure tasks are completed accurately and on time
  • Positive attitude, professional, and able to handle confidential matters with discretion
