Housed in a beautifully restored heritage shophouse, we serve curated local and Western beverages, ready to serve food, and selected retail items. As we prepare to open, we’re seeking a capable and hands-on F&B Operations Manager to join our team, someone who thrives on turning vision into execution, ensuring cafe operations run with precision, care and efficiency.

🪴 Role Summary
The F&B Operations Manager will serve as the primary execution arm of the founder and leadership team, overseeing cafe operations from pre-opening setup to post launch management. 

You will lead a team of cafe staff, ensuring operational standards, service quality and team performance are consistently met.

The role requires prior experience in F&B operations (e.g. cafe, restaurant or lounge) and the ability to work with precision, leadership and accountability. You will lead team of café staff, ensuring operational standards, service quality and team performance and consistently met.

💼 Key Responsibilities
⚙️
Pre-Launch Setup & Execution

  • Develop and manage the opening timeline, procurement checklist and operational readiness plan.
  • Coordinate cafe layout, kitchen flow and equipment installation with contractors and vendors.
  • Source and finalise suppliers for food, beverages, packaging and operating supplies.

👨‍🍳 Staffing Operations

  • Develop manpower plan, job scopes, recruitment ads, and onboarding SOPs.
  • Coordinate interviews, shortlist candidates and collaborate with the management on hiring decisions.
  • Supervise daily team operations, manage shift rosters, conduct briefings and coach staff to uphold performance and service standards.

📑 Licensing & Regulatory Compliance

  • Handle submissions and follow-ups for DBKL premise licensing, Bomba, CCC, food handling certs, pest control, grease trap registration.
  • Maintain all regulatory folders and renewals timelines, ensuring full compliance and audit readiness.

🧾 Procurement & Vendor Management

  • Source and secure suppliers for all café needs including food, beverages, cleaning supplies, uniforms, kitchenware and retail items.
  • Negotiate pricing and service terms while tracking deliveries and supplier performance.


Operational Systems Setup

  • Implement POS, inventory and scheduling systems, as well as logbooks and checklists.
  • Establish SOPs for hygiene, cleanliness, food safety, customer feedback handling and equipment maintenance.

🏪 Post-Launch Cafe Operations

  • Oversee day-to-day operations including service quality, inventory control, supplier coordination and team deployment.
  • Monitor cash flow, daily sales and cost controls.
  • Manage stock reordering, petty cash, shift closing and staff rosters.

  • Track sales, operating expenses and stock movements.
  • Support management in cost control, vendor payments and reporting.
  • Maintain POS, inventory and HR systems to ensure accurate records and smooth daily operations.
      


Job Requirements

🧰 Requirements & Qualifications
Experience
Minimum 3–5 years in a similar F&B / retail operations role, with at least one full setup or launch experience. Proven experience leading and managing café or restaurant teams.

Education
Diploma or Degree in Hospitality Management, Business Administration or equivalent experience.


Project Skills

Experienced in managing timelines, tracking deliverables and driving multiple concurrent initiatives.
 

Licensing Knowledge
Familiarity with local authority regulations for DBKL, Bomba, Health Dept, etc.
 

People Management
Experience in hiring, training and supervising front and back of house staff.
 

Technical Proficiency
Comfortable with POS systems, HR portals, Excel, Google Sheets and reporting tools.
 

Personal Traits
Self-starter, highly organized, calm under pressure, high integrity, reliable follow-through.
 

Languages
Fluent in English and Bahasa Malaysia. Mandarin / Cantonese and foreign language is an advantage.
