Academic Program Administration: Supporting processes related to the student lifecycle, including admissions, registration, course data management, timetabling, and examinations.
Governance and Reporting: Providing secretariat support to faculty committees (e.g., creating agendas, taking minutes, pursuing action items) and preparing various reports, presentations, and statistical data for management.
Human Resources Support: Assisting with HR functions such as staff recruitment, onboarding, performance reviews, leave tracking, and ensuring compliance with university HR policies and procedures.
Financial and Facility Oversight: Supporting budget development and monitoring, processing invoices and expenses, managing procurement of supplies and equipment, and coordinating facility maintenance and space allocation.
Communication and Coordination: Serving as a primary point of contact for internal and external inquiries, managing internal communications, scheduling meetings and events, and maintaining filing and record systems.
Project Management: Participating in or leading working groups for system and process improvements and managing specific projects as assigned by the Faculty Manager or Dean.
Job Requirements
Education: A diploma in a relevant discipline (e.g., business administration) or an equivalent combination of education and experience is typically required.
Experience: Several years of progressively responsible administrative experience, preferably within a higher education setting, is often essential. (Fresh Graduates are welcome to apply)
Technical Skills: Proficiency in Microsoft Office suite (Word, Excel, Outlook) and the ability to use complex, specialized university IT systems and databases.
