Job Description

Executive Support

  • Manage the Managing Director’s calendar, appointments, and daily schedules.
  • Handle communications on behalf of the MDs — including emails, calls, message drafting, and timely follow-ups.
  • Conduct research, compile information, and prepare briefing notes or presentation decks for internal and external meetings.
  • Join meetings, take notes, and assist in tracking action items or follow-ups.
  • Support interview coordination and candidate communications when needed.
  • Assist with travel arrangements, accommodation bookings, and company event planning.
  • Maintain confidentiality and professionalism in handling sensitive business and personal matters.

Project Coordination & Management

  • Track and manage multiple ongoing projects, ensuring milestones and deadlines are met.
  • Liaise with internal teams, vendors, and external stakeholders to ensure seamless execution.
  • Monitor progress, timelines, budgets, and team resources across projects.
  • Troubleshoot challenges, identify workflow inefficiencies, and propose improvements.
  • Prepare and present project updates and summaries for leadership review.
  • Support cross-functional initiatives in marketing, operations, and business development.

Office Administration & Operations

  • Oversee smooth running of day-to-day office operations, ensuring a clean, stocked, and organized environment.
  • Supervise and coordinate cleaners for general cleanliness and hygiene.
  • Manage pantry inventory and restocking (e.g., beverages, snacks, toiletries).
  • Maintain and organize the store room, ensuring proper tracking and replenishment of supplies.
  • Keep updated records of company assets (devices, furniture, office equipment) and monitor movement.
  • Handle applications and coordination with building management — including renovation works, and facility requests.
  • Support renovation or fit-out projects by liaising with contractors, suppliers, and building reps.
  • Assist in the arrangement and execution of CSR (Corporate Social Responsibility) activities and events.
  • Coordinate MOF (Ministry of Finance) certificate renewal and relevant document submissions.
  • Manage and schedule content for the company’s LinkedIn, including writing posts and monitoring engagement.
  • Take care of front-desk duties: greeting visitors, managing calls, deliveries, and courier arrangements.
  • Assist with basic administrative functions: filing, purchase tracking, vendor coordination, and document prep.
