This role is designed for someone meticulous, trustworthy, and comfortable handling both finance and admin responsibilities, similar to all rounded SME style roles where one key person anchors documentation, payments, records, and operational support.</p>

<h2><strong>🪴</strong> <strong>Role Summary</strong></h2>
<p>As the Finance &amp; Administrative Executive, you will be the financial backbone and administrative anchor for the cafe. You will manage daily documentation, accounting tasks, HR files, regulatory tracking, licensing renewals, supplier invoices, payment scheduling, petty cash, procurement records, and staff-related documents.</p>

<li>&nbsp;Maintain petty cash log, staff claims, and reimbursements</li>
<li>&nbsp;Assist in basic bookkeeping (Excel/Word/Power-point or cloud accounting)</li>
<li>&nbsp;Maintain up-to-date procurement, cost sheets, and expense trackers</li>
<li>&nbsp;Prepare monthly financial folders for management review</li>
<li>&nbsp;&nbsp;Work with the Cafe Manager on inventory costing and stock variance reporting</li>

<h2><strong>📋 Office Administration &amp; Documentation</strong></h2>

<li>&nbsp;Maintain and update all audit folders (DBKL, Bomba, CCC, Health Department, etc.)</li>
<li>&nbsp;Track regulatory timelines, renewals, agreements and inspection schedules</li>
<li>&nbsp;Prepare and manage onboarding kits, HR files, rosters and staff documentation</li>
<li>&nbsp;Handle petty cash tracking, procurement lists, and inventory records for uniforms and supplies</li>

<li>&nbsp;Support readiness for audits, licensing inspections, and internal walkthroughs</li>

<li>&nbsp;Be the reliable point person for behind the scenes logistics covering roasters, uniforms, staff records, stock logs, and day to day cafe support materials</li>
<li>&nbsp;Prepare onboarding materials, visual posters, printed menus, and signage as needed</li>
<li>&nbsp;Assist the Operations Manager and Cafe Manager with administrative projects and urgent deadlines</li>
<li>&nbsp;Stay adaptable and step in where needed to support smooth daily operations</li>
</ul>
