Drury Heritage Cafe Lounge is a lifestyle destination in the heart of KL’s Chinatown, combining modern Malaysian cafe culture with heritage aesthetics. Housed in a beautifully restored shophouse, we serve curated local and Western beverages, ready to serve food, and selected retail items. 

Behind every well-run cafe is a strong financial and administrative foundation. This role is designed for someone meticulous, trustworthy, and comfortable handling both finance and admin responsibilities, similar to all rounded SME style roles where one key person anchors documentation, payments, records, and operational support.

🪴 Role Summary

As the Finance & Administrative Executive, you will be the financial backbone and administrative anchor for the cafe. You will manage daily documentation, accounting tasks, HR files, regulatory tracking, licensing renewals, supplier invoices, payment scheduling, petty cash, procurement records, and staff-related documents.

Although primarily an office/back-office role, you may occasionally support cafe operations during audit checks, stock counts or busy periods and be expected to step in on the cafe floor when needed.

đź’Ľ Key Responsibilities

📊 Finance, Accounts & Cash Flow Support

  •  Prepare and maintain daily sales reports, cash summaries, and payment records
  •  Track invoices, supplier bills, and coordinate payment schedules
  •  Maintain petty cash log, staff claims, and reimbursements
  •  Assist in basic bookkeeping (Excel/Word/Power-point or cloud accounting)
  •  Maintain up-to-date procurement, cost sheets, and expense trackers
  •  Prepare monthly financial folders for management review
  •   Work with the Cafe Manager on inventory costing and stock variance reporting

đź“‹ Office Administration & Documentation

  •  Maintain and update all audit folders (DBKL, Bomba, CCC, Health Department, etc.)
  •  Track regulatory timelines, renewals, agreements and inspection schedules
  •  Prepare and manage onboarding kits, HR files, rosters and staff documentation
  •  Handle petty cash tracking, procurement lists, and inventory records for uniforms and supplies

🍽️ Cafe Ops Assistance (As Required)

  •  Coordinate deliveries, print jobs, menu updates, and POS price configurations
  •  Assist with cafe floor setup, restocking, signage, or light prep during peak hours or events
  •  Help with cafe floor setup or prep during peak periods or special events
  •  Support readiness for audits, licensing inspections, and internal walkthroughs

đźš® General Operations Support

  •  Be the reliable point person for behind the scenes logistics covering roasters, uniforms, staff records, stock logs, and day to day cafe support materials
  •  Prepare onboarding materials, visual posters, printed menus, and signage as needed
  •  Assist the Operations Manager and Cafe Manager with administrative projects and urgent deadlines
  •  Stay adaptable and step in where needed to support smooth daily operations

Job Requirements

Experience: 1–2 years finance, admin or operations support experience (F&B industry a bonus).

Skills: Words, Power-point, Excel, Google Sheets, POS systems (basic)

 Personal Traits: Self-starter, highly organized, calm under pressure, high integrity, reliable follow-through.

 Languages: Fluent in English and Bahasa Malaysia. Mandarin/Cantonese and foreign language is an advantage (due to suppliers, logistics and neighbourhood interactions).
