Job Description
Event Coordination & Preparation
- Assist the Events Executive/Manager in planning event layouts, schedules, checklists, and resource requirements.
- Prepare event materials, props, merchandise, registration kits, and equipment.
- Coordinate with vendors, suppliers, and internal departments to ensure timely setup and delivery.
- Conduct inspections within our site to verify cleanliness, safety, and readiness for guests.
On-Ground Event Operations
- Manage registration counters, ushering, crowd flow, booth operations, and guest assistance.
- Ensure all event activities follow the planned timeline and coordinate with team members to execute transitions smoothly.
- Troubleshoot operational issues immediately and escalate when necessary.
- Oversee adherence to safety and compliance standards throughout the event.
Commanding an Audience & Public Instruction Delivery
- Confidently address groups of participants, visitors, or staff using clear verbal instructions.
- Conduct announcements, briefings, or demonstrations as needed for activities, games, workshops, or event flow.
- Maintain strong stage presence and the ability to capture attention in both small and large group settings.
- Communicate calmly and effectively during urgent situations, ensuring the audience receives accurate and timely instructions.
- Adapt tone and communication style based on audience type (e.g., corporate guests, families, children, VIPs).
Customer Service & Guest Engagement
- Provide friendly, professional assistance to guests, exhibitors, partners, and VIP attendees.
- Resolve guest queries and issues with a service-minded approach.
- Support event engagement activities such as games, demonstrations, product explanations, or guided experiences.
- Collect feedback from participants when required.
Administrative & Logistical Support
- Maintain inventory of event supplies and equipment; ensure proper storage and usage.
- Record attendance, participation data, and other required metrics.
- Assist in preparing post-event reports, photo logs, and documentation.
- Handle minor administrative tasks such as paperwork, vendor forms, payment processing support, and internal coordination.
Team Collaboration & Support
- Work closely with the event team, contractors, part-timers, and volunteers to ensure efficient operations.
- Provide leadership if overseeing small segments of an event or supervising temporary staff.
- Participate in team briefings, rehearsals, and debrief sessions.
