The role is to support branch sales through effective administrative and organizational assistance, ensuring smooth daily operations and contributing to the overall success of the branch. Key responsibilities include maintaining accurate records, preparing sales and financial reports, handling customer inquiries, and coordinating with internal teams. The role also involves assisting in the implementation of new products and promotional activities as needed .

Accounts/Credit Control

<li>To request and issue Credit Note for customer for the following times:</li>
<ol>
<li>termination of service / default payment by customer</li>
<li>hardware and programming&nbsp;</li>
</ol>
<li>To issue hardware billing invoice and service fee for additional line, share line and sale purchase</li>
<ol>

</ol>
Steps to raise billing invoice:
<ol>
<li>Raise worksheet in TRBOWEB and email the worksheet to HQ Customer Service&nbsp;</li>
<li>Create order, billing and service fee contract in SAP and HQ will send the print-out to Ipoh branch printer.</li>
<li>Create Service Report in SAP</li>
<li>Scan hardware invoice, TSD invoice and new sale service report and agreement to SAP.</li>
<ol>
<li>To key-in both daily bank-in transaction and confirmed direct bank-in by customer to Credit Control person-in-charge.</li>
<li>To send bank-in slips of Ipoh customers who made payment through direct bank-in to Accounts HQ to confirm bank-in. HQ will forward all confirmed bank-in to Credit Control person-in-charge for preparation of Original Receipt (OR).</li>
<li>First of the month prepare:</li>
<ol>
<li>Active units report from 1st to 31st of the month – for HQ</li>
<li>New units sale report&nbsp;</li>
<li>Active unit and billing comparison report – Credit Control</li>
<li>Aging report – Credit Control</li>
</ol>
<li>Send/Mail monthly invoice and statement to customers:</li>
<ol>
<li>Print invoices from system</li>
<li>Print statements from system</li>
<li>Send out all invoices and statements within 3 working days of the month.</li>
</ol>
<li>Bank-in daily cash or cheque(s) received from customers for the day. Scan and email bank-in slip to:</li>
<ol>
<li>HQ Accounts for Ipoh branch Cash Flow</li>
<li>Credit Control person-in-charge to prepare OR</li>
</ol>
<li>Bad Debt Customers</li>
<ol>
<li>Send reminders to late payment customers.</li>
<li>Send Letter of Demand (LOD) for customers who has not paid after 60 days</li>
<li>Prepare documents for CTOS submission (If any)</li>
<li>Follow-up with customers</li>
</ol>
<li>Payment Requisition</li>
<ol>
<li>Issue payment requisition for Ipoh Branch Bills or claim for payment by first by staff.</li>
<li>Prepare payment requisition for invoices that is sent to Ipoh branch. Courier the payment requisition form(s) (PRF) and invoice(s) to Purchasing department for their further action.</li>
<li>Download monthly branch expenditure eg. Utilities, GD Express, etc and prepare PRF and send to HQ Accounts.</li>
</ol>
<li>Ipoh Branch Sales Commission Claim:</li>
<ol>
<li>Compile second copy of company invoices (pink copy) with a copy of the customer’s agreement to send to HR before the 7th of the month.</li>
</ol>
<li>Compile together documents to send to HQ Accounts:&nbsp;</li>
<ol>
<li>GD Express consignment notes</li>
<li>Relevant supporting documents</li>
</ol>
</ol>
</ol>
Sales Administration/Customer Service
<ol>
<li>New programming / additional programming for Customer</li>
<ol>
<li>Raise worksheet in TRBOWEB and email the worksheet to HQ Customer Service.</li>
<li>Create Service Report in SAP.</li>
<li>Create order, billing and service fee contract in SAP and send the printing to Ipoh branch printer.</li>
<li>Termination of service by customer both in TRBOWEB and SAP&nbsp;</li>
<li>Termination by default payment both in TRBOWEB and SAP&nbsp;</li>
</ol>
<li>Electcoms hardware and accessories</li>
<ol>
<li>For every sale of Electcoms hardware or accessories, take from Ipoh branch stock or request from the HQ Store department.</li>
<li>Update in SAP system upon receiving the stock at Ipoh branch.</li>
</ol>
</ol>
Others
<ol>
<li>Other Administrative functions:</li>
<ol>
<li>Upkeep of the branch to maintain the branch cleanliness and keep all matters up-to-date.</li>
<li>Arrange for repairs and maintenance at the branch as and when required.</li>
<li>Entertain walk-in customers. Keep yourself well-versed with company’s product and services. Be constantly updated on the latest product, promotion, procedure or any other information related to the branch.</li>
<li>Being the point-of-contact with HQ on matters relating to the Branch.</li>
</ol>
