As a Sales and Marketing Admin Coordinator, you will be fully accountable for the sales performance and growth of the brand under your care across online platforms (website, IG, FB, TikTok, Shopee). You must demonstrate strong analytical skills and be proficient in Excel, Word and Canva. This is a hands-on role where you will manage online and on-site stores, run campaigns, and drive revenue from day one.
Sales & Marketing Admin Coordinator
1) Customer enquiries - via email, live chat, social media, and marketplaces (Website, IG, Shopee, TikTok).
2) Handle Sales Across Platforms – manage the full procurement process including sales and purchase orders, supplier coordination, and delivery follow-ups.
3) Manage order-related issues - including refunds, returns, and delivery tracking.
4) Service recovery – providing service recovery by liaising with e-commerce team to resolve delivery issues or escalations.
5) Online Customer Service - monitor and respond to customer reviews and ratings.
6) Master Product File Management – Manage and update master product file, including pricing, visuals, and descriptions
7) Stock coordination – Monitor inventory levels and coordinate with internal teams on stock availability
8) Maintain product updates and promotions - monitor product updates and promotions across all e-commerce platforms
9) Generate Sales Reports - and analyze merchandising reports to track daily, weekly, and monthly sales performance.
10) Campaign Execution Support – Support the implementation of platform campaigns, flash sales, and bundle offers.
11) Data Tracking Support – Monitor daily sales, traffic, conversions, and affiliate performance
12) Performance Growth – Support strategies to increase GMV, ROAS, sales conversions, and affiliate ROI.
13) Identify and Handle Customer Service Issues - identify and escalate recurring issues or customer pain points.
14) Event organizing and promotions- Support in planning, promoting and organizing marketing and sales events
15) Booth management – promote, decorate, organize and set up pop up booths, and stand in to manage sales and marketing at booths when necessary
16) Maintain asset folders – organize, update and maintain photos, videos, designs, logos, etc..
17) Posting on platforms – support in posting and update company social media platforms (Facebook, Instagram, TikTok, website, Shopee).
18) Assist in content creation – captions, post scheduling, and basic design.
19) Track social media engagement – track social media and e-commerce platform metrics and report performance to the marketing team.
20) Equipment & Display Organization – track the inventory of and organize the printing of sales and marketing materials and equipment required for events
21) Ad hoc duties - Any other ad hoc project/ administrative works as assigned by the management.
22) Brand awareness – Understand the brand and communicate it with customers, affiliates and on social media, as well as e-commerce platforms
We are looking for someone with:
Experience: Minimum of 1 year of working experience, preferably in e-commerce or related fields.
Time Management: Excellent time management and organizational skills to meet strict deadlines.
Detail-oriented: Highly meticulous and attentive to detail to maintain data accuracy.
Technical Skills: Proficiency in Microsoft Excel (pivot table, rankings, data analysis), Word and Canva. Basic knowledge and skills in Adobe Photoshop or Adobe Illustrator are a plus.
Communication Skills: Strong interpersonal and communication skills with a positive attitude. Be reliable, self-motivated, and creative in problem-solving.
Multitasking: Ability to handle multiple tasks, manage expectations, and coordinate effectively under tight timelines and pressure.
