Job Description

 Working Hours:
9 hours per day, 6 days off per month
10:00 AM – 7:00 PM (1-hour lunch break)
Work from home initially; office-based later 

Role Positioning:
Act as the operational hub of the legal department. By establishing standardized administrative processes and resource management systems, eliminate inefficiencies, enhance overall team delivery effectiveness, and ensure precise alignment of legal resources with business needs.

Key Responsibilities:

Process Optimization & Performance Monitoring:

  • Manage the full lifecycle of contract approval workflows, ensuring end-to-end closure. 
  • Improve cross-departmental approval efficiency through node tracking and early warning mechanisms. 

Legal Request Coordination:

  • Serve as the first point of contact for business units. 
  • Assess, categorize, and assign legal inquiries to the appropriate legal team members. 

Vendor & External Resource Management:

  • Law Firm Management: Oversee onboarding, performance evaluation (KPI), and fee settlement of external law firms; build and maintain an external expert resource database. 
  • Licenses & Seal Control: Manage the secure and compliant use of company licenses and official seals through controlled and digitalized systems. 

Knowledge Management & Legal Digitalization:

  • Maintain and update the legal knowledge base (KM), including standardized contract templates, industry regulations, and case studies to promote knowledge sharing and assetization. 

Financial Compliance & Budget Control:

  • Assist in preparing the department’s annual budget. 
  • Monitor legal expenses through data analysis to ensure refined cost management. 

Administrative Coordination & Culture Building:

  • Coordinate cross-departmental administrative tasks. 
  • Organize legal training sessions and compliance awareness initiatives. 
  • Prepare departmental operational reports.

Job Requirements

 

  • Diploma or above qualification. 
  • Strong multitasking ability, capable of managing multiple priorities in a fast-paced, high-pressure environment. 
  • Proficient in collaboration tools and legal management systems (CLM), with basic data analysis skills
