Job Description

We are looking for a proactive and detail-oriented Administrative Executive to support our daily operations. The ideal candidate will have strong organizational skills, be able to manage administrative tasks efficiently, and play a key role in coordinating HR & office admin activities.

Provide day-to-day office administrative support, including handling equipment service requests, courier arrangements, employee health, safety & security services, liaise with external vendors and service providers, as well as general HR & office administrative duties.

Job Accountabilities

A. General Administration & Office Support

  • Manage all screening of phone calls, taking messages and attending to queries.
  • Manage office supplies and stationery inventory, ensuring everything is well-stocked and organized
  • Handle maintenance schedules, including office equipment servicing, pest control, and facilities upkeep
  • Liaise with vendors, service providers, and building management for any administrative needs. Assist in procurement and inventory of company assets and supervising office renovations works (if there is any)
  • Coordinate courier services and track document deliveries
  • Coordinate with finance to manage payment
  • Support office operations by distributing laptops, access cards, and maintaining accurate asset records
  • Act as the point of contact for all administrative inquiries.
  • Performs any ad-hoc jobs as and when assigned by Management.

B. Human Resources Operations

  • Coordinate and support company events, meetings, and employee engagement activities.
  • Prepare, update, and maintain accurate HR /Office Admin related documents and records, leave and attendance records, correspondences and other related documentation.

Job Requirements

Academic Qualification

  • Minimum Diploma or Degree in Business Administration, Human Resource Management, or equivalent.

Knowledge/ Skills/ Experience

  • Minimum 1-2 years of experience in administrative work, logistics coordination, or customer support preferred.

Special Technical Skills and Technical Competencies  

  • Proficient in Microsoft Office (Word, Excel, Outlook).

Soft Skills Required 

  • Demonstrate a high level of integrity and professionalism in managing HR& admin functions.
  • Good in communication, coordination, and stakeholder management skills.
  • Self-motivated and reliable, with the ability to work independently under minimal supervision.
  • Excellent organisational skills with the ability to manage multiple tasks efficiently.
  • Ability to multitask in a fast-paced environment.
  • High attention to detail and the ability to maintain confidentiality
