Job Description

The Admin & Accounts Executive is responsible for handling daily administrative operations and supporting basic to intermediate accounting tasks. This role ensures smooth office functioning, maintains accurate financial records, assists in bookkeeping activities, and coordinates with internal departments to support overall business operations. The candidate must be organized, detail-oriented, and capable of managing multiple tasks efficiently.


Job Requirements

Key Responsibilities

1. Administrative Responsibilities

  • Manage day-to-day office operations and ensure a smooth workplace environment.
     
  • Handle phone calls, emails, correspondence, and office documentation.
     
  • Maintain office supplies, stationery, and equipment inventory.
     
  • Coordinate meetings, appointments, and schedules.
     
  • Manage filing systems—physical and digital.
     
  • Assist in HR-related tasks such as attendance tracking, onboarding, and employee record management.
     
  • Support management with reports, documentation, and administrative tasks.
     

2. Accounts & Finance Responsibilities

  • Record daily financial transactions (sales, purchases, payments, receipts).
     
  • Handle accounts payable and accounts receivable.
     
  • Prepare invoices, quotations, and purchase orders.
     
  • Maintain petty cash and update cash flow statements.
     
  • Assist in bank reconciliation and data entry into accounting software.
     
  • Support monthly closing activities and preparation of financial reports.
     
  • Coordinate with auditors for yearly or quarterly audits.
     

Required Skills & Qualifications

  • Bachelor’s degree in Commerce, Business Administration, Accounting, or related field.
     
  • Basic to intermediate knowledge of accounting principles.
     
  • Proficiency in MS Office (Excel, Word) and accounting software (Tally, QuickBooks, Zoho Books, etc.).
     
  • Strong organizational and multitasking abilities.
     
  • Excellent communication and interpersonal skills.
     
  • Attention to detail and accuracy.
     
  • Ability to work independently and within a team.
