<p><strong>Position Responsibilities</strong></p>
<p>- Greet visitors upon arrival and guide them to the designated waiting area. Ensure they are seated comfortably and informed of any necessary details while they wait.</p>
<p>- Brew and serve coffee to important guests and stakeholders.</p>
<p>- Manage all domestic and international travel arrangements for all HQ staffs regionally.</p>
<p>- Answer calls for the General Affairs department, provide information, and direct callers to the right department’s email or contact.</p>
<p>- Maintain an accurate and up-to-date logbook to record all incoming and outgoing parcels. Ensure that the relevant person or departments are informed about the status of their parcels.</p>
<p>- Handle the ordering process for name cards, ensuring correct details and timely delivery.</p>
<p>- Assist with the printing of airway bills for outbound parcels requested.</p>
<p>- Order the necessities stock needed for all headquarters (pantry, in-house canned drinks &amp; FMCG, bar ingredients).</p>
<p>- Coordinate with General Affairs team on the low stocks and required materials needed to purchase for HQ maintenance.</p>
<p>- Assist with raising Purchase Orders for all courier related payment and invoices.</p>
<p>- Assist in purchasing items requested by the departments on an ad hoc basis. This includes sourcing, ordering, and coordinating delivery of requested items.</p>
<p>- Assist with keeping track of office expenses, ensuring that all costs are recorded accurately and reports are up-to-date.</p>
<p>- Assist with organizing and maintaining physical and digital filing systems. Ensure documents are properly filed, archived, and easily retrievable when needed.</p>
<p>Support the team with photocopying, scanning, and other document processing tasks as required, maintaining confidentiality and accuracy.</p>
