Position Responsibilities
- Greet visitors upon arrival and guide them to the designated waiting area. Ensure they are seated comfortably and informed of any necessary details while they wait.
- Brew and serve coffee to important guests and stakeholders.
- Manage all domestic and international travel arrangements for all HQ staffs regionally.
- Answer calls for the General Affairs department, provide information, and direct callers to the right department’s email or contact.
- Maintain an accurate and up-to-date logbook to record all incoming and outgoing parcels. Ensure that the relevant person or departments are informed about the status of their parcels.
- Handle the ordering process for name cards, ensuring correct details and timely delivery.
- Assist with the printing of airway bills for outbound parcels requested.
- Order the necessities stock needed for all headquarters (pantry, in-house canned drinks & FMCG, bar ingredients).
- Coordinate with General Affairs team on the low stocks and required materials needed to purchase for HQ maintenance.
- Assist with raising Purchase Orders for all courier related payment and invoices.
- Assist in purchasing items requested by the departments on an ad hoc basis. This includes sourcing, ordering, and coordinating delivery of requested items.
- Assist with keeping track of office expenses, ensuring that all costs are recorded accurately and reports are up-to-date.
- Assist with organizing and maintaining physical and digital filing systems. Ensure documents are properly filed, archived, and easily retrievable when needed.
Support the team with photocopying, scanning, and other document processing tasks as required, maintaining confidentiality and accuracy.
