Job Description

We are seeking a proactive, highly organized Operation Executive / Admin to support the daily operations and HR activities of the company. This role goes beyond traditional administration — you will be involved in bookkeeping, HR coordination, payroll, office management, recruitment, employee relations, and maintaining company policies.You will work closely with the management team to ensure smooth internal operations as the company grows. This position is ideal for someone who is responsible, disciplined, resourceful, and excited to build structure and efficiency within a fast-paced startup environment. 

Recruitment & Talent Management

  • Coordinate end-to-end hiring process: job posting, screening, scheduling interviews
  • Prepare interview tasks, candidate assessments, and feedback forms
  • Carry out onboarding processes: orientation, system access, company policies briefing
  • Support employee offboarding: clearance, handover, paperwork

HR Operations & Culture Building

  • Maintain and update HR policies, SOPs, employee handbook
  • Plan internal activities like team lunches, company events, birthdays, celebrations
  • Monitor staff performance evaluation reminders and documentation
  • Handle employee queries professionally and confidentially
  • Assist management in employee welfare, benefits, and engagement programs

Bookkeeping & Finance Support

  • Manage daily bookkeeping tasks: invoices, receipts, expenses, petty cash, claims
  • Assist in preparing basic financial reports for management review
  • Coordinate with external accountants for monthly reports, tax, and compliance

Payroll & HR Administration

  • Prepare monthly payroll: salary calculation, allowances, commissions & deductions
  • Maintain attendance, timesheets, leave records, and employee database
  • Manage EPF, SOCSO, PCB submissions and other statutory contributions
  • Handle HR documentation: offer letters, contracts, confirmation letters, warning letters

Office & Operational Management

  • Manage office supplies, equipment, pantry, cleanliness, and maintenance
  • Liaise with vendors and service providers (internet, utilities, building management)
  • Organize company travel bookings, meeting arrangements and scheduling

General Administrative Support

  • Prepare documents, letters, reports, and meeting minutes
  • Ensure smooth day-to-day office operations and administrative efficiency
  • Support management and team needs whenever required

 


Job Requirements

REQUIREMENTS

  • Diploma or Bachelor’s degree in Business Administration, HR, Accounting, or related field
  • 1–3 years of experience in administration or HR roles
  • Familiar with payroll & accounting basics is an advantage
  • Strong organization, time management and multitasking abilities
  • Professional communication (verbal & written)
  • Trustworthy and able to maintain confidentiality of HR & financial information
  • Independent, reliable and proactive in solving problems

GOOD TO HAVE

  • Experience using payroll or accounting systems (SQL, AutoCount, HR software)
  • Knowledge of HRDF, employment law & compliance
  • Experience in a startup or fast-paced work environment
  • Event planning or employee engagement experience
