This role involves coordinating various administrative tasks to ensure the efficiency of the legal team’s operation. Your responsibilities include: &nbsp; <ul> <li style="text-align:justify">Manage and process invoices related to legal services, ensuring accuracy and timely submission.</li> <li style="text-align:justify">Act as the bridge between lawyers and internal/external stakeholders to ensure seamless communication and collaboration.</li> <li style="text-align:justify">Develop and maintain appointment letter templates and other legal documents as required.</li> <li style="text-align:justify">Schedule and coordinate meetings, including securing meeting room bookings and confirming participant availability, with a focus on data breach discussions.</li> <li style="text-align:justify">Assist in the preparation and coordination of reports as advised by the Legal Director, ensuring all necessary information is gathered and presented accurately.</li> <li style="text-align:justify">Collaborate the setup and management of the GCO SharePoint, ensuring it meets the needs of the legal team and is user-friendly.</li> <li style="text-align:justify">Organize, maintain, and ensure the security of legal files and documents, both physical and digital, to support the legal team's operations.</li> <li style="text-align:justify">Maintain and update the corporate entity database, by ensuring all information is accurate and current.</li> <li style="text-align:justify">Manage approval via EY system before the appointment of service providers</li> </ul> &nbsp; Skills and attributes for success &nbsp; <ul> <li>Strong organizational skills</li> <li>Drive to excel professionally, and to guide and motivate others</li> <li>Good written and verbal communication skills</li> <li>Dedicated, innovative, resourceful, team player and able to work under pressure</li> <li>Proactive approach to problem-solving</li> <li>Foster an efficient, innovative and team-oriented work environment</li> <li>Proficiency in Microsoft Office Suite and familiarity with SharePoint.</li> </ul> &nbsp; To qualify for the role you must have &nbsp; <ul> <li>At least Diploma/Bachelor’s degree with minimum 3 years of relevant experience in legal support or administration role.</li> </ul> &nbsp; &nbsp;What we look for &nbsp; Highly motivated individuals with excellent problem-solving skills and the ability to prioritize shifting workloads in a rapidly changing industry.
