Job Description

The HR Assistant provides administrative and operational support to the Human Resources function, ensuring day-to-day HR processes run smoothly and in compliance with company policies and Malaysian labour laws. This role supports recruitment, onboarding/offboarding, employee records management, payroll coordination, and general HR administration.

Education

  • Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, or a related field.

Experience

  • 0–2 years of experience in HR or administrative roles (fresh graduates are encouraged to apply).

Skills & Competencies

  • Basic knowledge of Malaysian labour laws and HR practices.
  • Good organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Good communication skills in English and Bahasa Malaysia.
  • Proficient in Microsoft Office / Google Workspace.
  • Ability to handle confidential information with integrity and professionalism.

Job Requirements

Key Responsibilities

1. Recruitment & Onboarding Support

  • Assist in posting job advertisements and coordinating interviews.
  • Screen resumes and schedule interviews with hiring managers.
  • Prepare offer letters, employment contracts, and onboarding documents.
  • Coordinate new hire onboarding, including document collection, system setup, and orientation schedules.

2. Employee Records & HR Administration

  • Maintain accurate and up-to-date employee personal files (physical and digital).
  • Update HR systems and trackers (leave, attendance, employee database).
  • Ensure confidentiality and proper handling of employee information.
  • Assist in preparing HR reports, letters, and internal communications.

3. Attendance, Leave & Payroll Coordination

  • Monitor attendance, leave applications, and overtime records.
  • Assist in monthly payroll preparation by compiling relevant data.
  • Coordinate with Finance for payroll processing and statutory submissions.
  • Address basic employee queries related to salary, leave, and attendance.

4. Statutory & Compliance Support

  • Assist in managing statutory matters (EPF, SOCSO, EIS, PCB) documentation.
  • Ensure HR practices align with the Employment Act 1955 and company policies.
  • Support audits and inspections by preparing required HR documents.

5. Employee Relations Support

  • Assist in handling employee queries, grievances, and basic disciplinary documentation.
  • Support HR processes such as probation confirmation, performance reviews, and PIP documentation.
  • Help coordinate training sessions, meetings, and internal HR initiatives.

6. General HR & Office Support

  • Provide administrative support to the HR department as required.
  • Assist in drafting and updating HR SOPs, policies, and handbooks.
  • Support office administration tasks related to staff welfare and engagement activities.
  • Perform other HR-related duties as assigned by management
