Job Description

  • Strategic Talent Acquisition: Lead the full-cycle recruitment process by identifying staffing needs, crafting job descriptions, posting vacancies, screening applicants, conducting interviews, and selecting candidates who align with the company’s values and strategic goals.
  • Employee Onboarding & Orientation: Design and execute a comprehensive onboarding program that includes orientation sessions, documentation handling, system access setup, and cultural integration. Ensure new hires understand their roles and responsibilities.
  • HR Policy Development & Implementation: Draft, revise, and enforce HR policies and procedures in accordance with Malaysian labor laws and industry best practices. Ensure consistent application across departments.
  • Payroll & Benefits Administration: Manage monthly payroll processing, including salary calculations, overtime, deductions, and reimbursements. Administer employee benefits and ensure timely statutory submissions.
  • Performance Management & Appraisal Systems: Implement and oversee performance evaluation frameworks. Support managers in setting KPIs, conducting reviews, and developing performance improvement plans.
  • Training & Development Coordination: Conduct training needs analysis and organize relevant learning programs. Track training effectiveness and maintain records to support employee development.
  • Employee Relations & Conflict Resolution: Act as a mediator in workplace disputes and grievances. Investigate complaints and implement corrective actions while maintaining confidentiality and fairness.
  • Legal Compliance & Industrial Relations: Ensure all HR activities comply with Malaysian labor laws and industrial relations standards. Prepare documentation for audits and liaise with legal counsel when needed.
  • HRIS ( Human Resources Information System ) & Data Management: Maintain and update HRIS to ensure accurate employee data. Generate reports for management and ensure data security.
  • Leave & Attendance Management: Monitor employee attendance and leave balances. Address absenteeism and ensure compliance with statutory and company leave policies.
  • Exit Management & Offboarding: Manage the offboarding process, including exit interviews, clearance procedures, final payroll settlements, and feedback collection.
  • Workforce Planning & Organizational Development: Assist in strategic workforce planning and support organizational development initiatives such as restructuring and succession planning.
  • Employee Engagement & Culture Building: Plan and execute engagement initiatives such as wellness programs, team-building activities, and recognition events.
  • HR Analytics & Strategic Reporting: Compile and analyze HR metrics. Present insights and recommendations to senior management.
  • Internal Communication & Staff Relations: Facilitate effective communication through newsletters, announcements, and meetings. Encourage feedback to improve practices.
  • Health, Safety & Wellness Compliance: Collaborate with safety officers to ensure compliance with occupational safety standards. Promote employee wellness.
  • Diversity, Equity & Inclusion (DEI): Promote inclusive hiring practices and support programs that foster diversity and equity.
  • Vendor & External Stakeholder Management: Liaise with external service providers and government bodies. Negotiate contracts and monitor service quality.
  • HR Budgeting & Cost Optimization: Assist in preparing the HR department’s budget. Monitor expenditures and identify cost-saving opportunities.
  • Support for Accreditation & Institutional Audits: Provide HR documentation and support for academic accreditation bodies and external quality assurance reviews.

Job Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or related field.
  • Minimum of 04 years of HR experience in a corporate or educational setting.
  • Strong understanding of Malaysian labor laws and HR best practices.
  • Excellent communication skills in Chinese (Mandarin or Cantonese); English proficiency is an advantage.
  • Proficient in HRIS systems and Microsoft Office Suite.
  • High level of integrity, confidentiality, and professionalism.
