Job Description

  1. Industrial and Employee Relations
  • Disciplinary Management: Investigate and process misconduct cases, conduct Domestic Inquiries (DI), and prepare necessary documentation such as warning letters and breach of contract letters.
  • Grievance Handling: Lead the resolution of employee grievances, acting as a neutral mediator to resolve conflicts while protecting company interests.
  • Performance Improvement: Coordinate the implementation of Performance Improvement Plans (PIP) for underperforming employees in collaboration with line managers.

2. Policy Interpretation & Compliance

  • Handbook Mastery: Serve as the primary point of contact for interpreting the Employee Handbook and Group HR Policies to ensure legal compliance and organizational alignment.
  • Policy Development: Manage the policy development and review cycle, drafting new procedures or enhancing existing ones as required by legislative changes or organizational needs.
  • Legal Updates: Stay updated on Malaysian labor laws, including the Employment Act 1955 and the Industrial Relations Act, ensuring all internal practices remain compliant.
  • Maintain and update all Group HR policies and procedures, ensuring they are current, legally compliant, and aligned with organizational goals.
  • Manage the policy development and review cycle, drafting new policies as needed and making recommendations for enhancements.
  • Ensure the practical application of policies in day-to-day HR operations.

3. Training & Awareness

  • IR Education: Conduct training sessions for managers and staff on handling discipline, employee-related issues, and code of conduct.
  • Knowledge Sharing: Translate complex legal or policy feedback into actionable insights and share learnings with the wider HR team to build group-wide IR knowledge.
  • Communication: Coordinate the dissemination of IR updates through internal platforms and the e-newsletter

Job Requirements

1. Required Experience

  • Experience: 1–2 years of proven experience in industrial or labor relations.
  • Excellent interpersonal and collaboration skills, with the ability to build strong relationships with internal and external stakeholders.

2. Key Technical & Functional Skills

  • Technical skills: Malaysian Labor Laws (Employment Act), Policy Drafting & Interpretation, Documentation & Report Writing, Training & Presentation
  • System Proficiency: Experienced in using Rymnet (HRIS) and Microsoft Office Suite

3. Key Soft Skills/Competencies

  • Soft skills: Conflict Resolution, Negotiation, Analytical, Problem-Solving, Confidentiality. Integrity, Effective Communication 

4. Decision Making Authority

Document Verification, Data Accuracy Approval, Process Prioritization, Policy Application, Escalation Decisions, Communication Decisions
