Job Requirements

Key Responsibilities:

  • Manage front-desk duties: receive visitors, answer phones, handle mail and email inquiries.
  • Maintain office supplies, equipment and facilities; source and liaise with vendors.
  • Process office procurement, purchase orders, invoices, petty cash and basic bookkeeping entries.
  • Support HR administration: onboarding/offboarding, employee records, leave tracking and attendance.
  • Schedule and coordinate meetings, travel arrangements and company events; prepare agendas and minutes.
  • Maintain organised physical and digital filing systems; ensure confidentiality of documents.
  • Prepare routine reports, data entry and presentation materials for management.
  • Implement and improve office procedures and ensure compliance with company policies.
  • Perform ad-hoc administrative and operational tasks as required.

Qualifications:

  • Diploma or Bachelor’s degree in Business Administration, Office Management or related field.
  • Minimum 2 years’ experience in administrative or executive support; experience in SMEs preferred.
  • Basic accounting knowledge and familiarity with accounting software (e.g., MYOB, QuickBooks) is an advantage.

Skills & Competencies:

  • Strong organizational skills, attention to detail and ability to multitask.
  • Proficient in Microsoft Office (Word, Excel, Outlook); comfortable with digital filing systems.
  • Good written and verbal communication in English; Bahasa Malaysia preferred.
  • Professional, discreet, customer-service oriented and able to work independently.
  • Good interpersonal skills for vendor and client liaison.
